Everything you need to get from signing up to sending your first invoice. If something here does not answer your question, write to us at support@intelliob.com.
What is Billbana?
Billbana is free online billing software for Indian businesses. You keep your business details, customers and items in it, and it produces professional invoices you can print, download as a PDF or share.
It handles both GST and non-GST invoicing. It is not an accounting package and it does not file GST returns — see the Disclaimer for exactly where the line is.
Creating your account
- Go to Sign up.
- Enter your email address and choose a password.
- We send a verification link to that address. Open the email and click the link.
- Come back and sign in.
There is no cost and we do not ask for card details at any point.
The verification email has not arrived
You must verify your email address before you can use Billbana — an unverified account cannot sign in. If the email has not appeared:
- Check your spam or junk folder. These messages are sent automatically from a no-reply address, which Gmail, Outlook and Yahoo sometimes filter. If you find it there, mark it Not spam so future messages arrive properly.
- Give it a few minutes — delivery is usually quick but not instant.
- Check the address you typed. A typo means the email went somewhere else.
- Use the resend option on the verification screen to send a fresh link.

Setting up your business
The first time you sign in, Billbana asks for a few details about your business. Three are required: your business name, your state and a mobile number.
Your state matters more than it looks: it is what decides whether a sale is treated as within your state (CGST and SGST) or outside it (IGST).
Everything else can be added later under Settings, which has four tabs:
- Business profile — address, contact details, GSTIN and PAN, and your logo and signature images.
- Invoice defaults — the invoice title (Tax Invoice, Proforma Invoice, Estimate, or anything else you need), payment terms, standard notes and terms & conditions.
- Bank & payment — the account name, bank, account number, IFSC, branch and UPI ID printed on your invoices so customers know where to pay.
- Account — your sign-in details, marketing preferences, and Your data: download a copy of everything (a ZIP of spreadsheet files — do this regularly as your backup) or delete your account.
You only do this once. Whatever you save here appears on every invoice from then on.
GST and non-GST invoices
If you are not registered for GST, leave GST registration off in your business profile and raise invoices without any tax. This is fully supported — you do not need a GSTIN to use Billbana.
If you are registered, add your GSTIN. Billbana then applies CGST and SGST when your customer is in the same state as you, and IGST when they are in a different one — so make sure each customer’s state is recorded correctly.
You choose the GST rate for each item, and you can store a default rate and an HSN or SAC code against a product or service so you do not have to re-enter them.
Billbana does not verify a GSTIN against the GST Network and does not check that a rate or code is the right one for your supply. That remains your responsibility — see the Disclaimer.
Customers, products and services
Save the customers you bill regularly under Customers, with their address, state and GSTIN. Only the name is required — you can fill the rest in later.
Save the things you sell under Products & Services, with a default rate, unit, HSN or SAC code and GST rate. Marking an item as a product or a service only changes the wording and helps you filter a long list.
You do not have to set these up in advance. While creating an invoice you can add a new customer or a new item without leaving the invoice — it is saved to your list at the same time.
Changing a saved rate later never alters an invoice you have already issued. Each invoice keeps its own copy of what it was raised with.
Creating an invoice
- Go to Invoices and choose New invoice, or use New invoice on the dashboard.
- Pick the customer, or add a new one there and then.
- Add your lines — pick a saved item or type a one-off description. Set the quantity and rate.
- Check the totals. Tax, the round-off and the amount in words are worked out as you go.
- Save.
The invoice number is generated for you, in sequence, per financial year — for example INV/FY26-27/0001. You do not need to keep track of it.
To raise a similar invoice again, use Clone from the invoice list. That creates a brand-new invoice with a new number and leaves the original untouched.
Financial years
Billbana organises invoices by the Indian financial year — 1 April to 31 March. Invoice numbers restart each year, so the year is part of the number.
The financial-year selector at the top of the screen switches which year you are looking at. Your dashboard totals and invoice list follow it.
Paid and Pending
You can mark an invoice Paid or Pending, and filter your list by it. This is a label you set yourself, to help you keep track.
Billbana does not record payments. It stores no amount received, no payment date, no method, no reference and no part-payment, and it calculates no outstanding balance.
Signing in and resetting your password
Sign in at Log in with the email address and password you registered.
Forgotten your password? Use Reset password. We email you a link to set a new one. As with the verification email, check your spam folder if it does not arrive within a few minutes.
For your security, setting a new password signs out existing sessions.
Using Billbana on a phone
Billbana works in any modern mobile browser — there is nothing to install from an app store.
To keep it handy, use your browser’s Add to Home screen option. It then opens full-screen like an app. On iPhone this is in the Share menu in Safari; on Android it is in the browser’s menu.
You still need a connection to load and save your data. If you go offline, Billbana shows a clear message rather than a browser error.
Something is not working
- Signed out unexpectedly? Sessions expire after five days. Just sign in again.
- A page looks out of date? Refresh it. If it persists, clear the site data for Billbana in your browser and sign in again.
- Cannot delete a customer or item? Anything used on an invoice cannot be deleted — that would damage your billing history. Deleting the invoices that use it first will release it.
- The PDF will not download? Check that your browser is not blocking downloads for this site, then try again. If Billbana says it couldn’t create the PDF, use Print and choose “Save as PDF” as the printer instead.
If none of that helps, write to support@intelliob.com and tell us what you were doing, what you expected and what happened instead. Please do not include your password — we will never ask for it.
